Build Reports, Visualize Data, and Export Your Numbers

Running a travel business means knowing your numbers. Pixie Dust CRM gives you a powerful report builder that turns your bookings, clients, and finances into clear, actionable insights — no spreadsheets required.

1. The Report Builder

The report builder is your starting point for any custom report. Pick a data source, choose your columns, add filters, and see results instantly. It is flexible enough for quick checks and deep enough for serious analysis.

Data Sources

Every report starts by choosing what kind of data you want to analyze. You have four primary sources to choose from:

🧳Bookings

Trip details, statuses, pricing, dates, and destinations

👥Clients

Contact info, tags, acquisition source, booking history

Tasks

Due dates, completion status, assigned bookings

🌍Group Trips

Group members, linked bookings, organizer details

Columns and Filters

After choosing a data source, select the columns you want to see in your report. You can pick from dozens of fields — client name, booking status, travel dates, total price, commission amount, and more. Then add filters to narrow the results: only show bookings from this quarter, only clients tagged as “VIP,” only tasks that are overdue.

Grouping

Group your results by any column to see aggregated totals. For example, group bookings by destination to see total revenue per resort, or group clients by acquisition source to understand where your best leads come from.

Pro Tip

Start with a pre-built template and customize it. It is much faster than building from scratch, and you can always add or remove columns and filters after the fact.

2. Pre-Built Report Templates

Do not want to build a report from scratch? We have included seven ready-to-use templates that cover the most common things travel agents need to track. Just pick one and it fills in everything for you.

1

Monthly Revenue

See total revenue by month with booking counts and average trip value. Perfect for spotting seasonal trends and measuring growth.

2

Pipeline Overview

A breakdown of all active bookings by status with total value per stage. Know exactly how much revenue is in each phase of your pipeline.

3

Commission Report

Track your earned commissions across all bookings with filters for date range, supplier, and booking type. Great for tax time.

4

Client Acquisition

See where your clients are coming from — referrals, your lead form, social media, or manual adds. Helps you focus your marketing spend.

5

Upcoming Departures

A list of all trips departing in the next 30, 60, or 90 days. Stay ahead of final payments, document deadlines, and pre-trip check-ins.

6

Overdue Tasks

Every task that is past its due date, grouped by booking. A quick way to catch anything that has slipped through the cracks.

7

Top Clients

Your highest-value clients ranked by total booking revenue. Use this to identify VIPs and prioritize your relationship-building efforts.

Customize Any Template

Every template is a starting point, not a locked-down format. Once you load a template, you can add columns, change filters, adjust grouping, and save your version as a new custom report. Think of templates as shortcuts, not constraints.

3. Charts and Visualizations

Numbers are powerful, but a chart tells the story at a glance. Every report can include a visual chart that makes your data easy to understand and share.

📊

Bar Chart

Compare values across categories — revenue by month, bookings by destination

📈

Line Chart

Track trends over time — monthly revenue growth, client acquisition rate

🥧

Pie Chart

See proportions — booking types, pipeline stage distribution, lead sources

To add a chart, just toggle the visualization option when building your report and choose the chart type that makes the most sense for your data. The chart updates in real time as you adjust filters and grouping, so you can experiment until you find the view that tells the clearest story.

When to Use Each Chart

Use bar charts for comparing discrete categories (like revenue per destination). Use line charts for spotting trends over time (like monthly booking volume). Use pie charts for understanding proportional breakdowns (like what percentage of your bookings are Disney vs. cruise).

4. Saving and Exporting

Once you have built a report you love, save it so you can run it again anytime. And when you need to share it or use the data elsewhere, export with a single click.

1

Save your report

Give your custom report a name and save it. It will appear in your saved reports list so you can reopen it anytime with all your columns, filters, and grouping intact.

2

Export to CSV

Download your report data as a CSV file for use in Excel, Google Sheets, or any spreadsheet tool. Great for custom analysis or sharing raw data with your host agency.

3

Export to PDF

Generate a clean, formatted PDF that includes your data table and chart visualization. Perfect for attaching to emails, printing for meetings, or keeping in your records.

Bottom line

Reports are not just about looking at numbers — they help you make better decisions. Run your pipeline report weekly to catch stalled bookings, check your commission report monthly to track earnings, and review your top clients quarterly to plan your outreach strategy. The data is already there — reports just make it visible.
