Getting Started
Is Pixie Dust CRM only for Disney travel agents?
No. While Pixie Dust CRM was designed with Disney and theme-park travel in mind, it works for any travel agent. The booking system handles cruises, all-inclusive resorts, Universal Orlando, group trips, and custom vacations. The Disney-specific features (dining reservation tracker, park-specific itinerary fields) are bonuses, not limitations.
Can I use Pixie Dust CRM for Universal Studios bookings?
Yes. Pixie Dust CRM supports Universal Orlando as a destination type alongside Disney World, Disneyland, Disney Cruise Line, Carnival, Royal Caribbean, and combined trips. All the same booking, itinerary, and client features work regardless of destination.
Does Pixie Dust CRM work for cruise-only agents?
Absolutely. Cruise bookings get their own destination fields (Disney Cruise Line, Carnival, Royal Caribbean), and the itinerary builder works great for day-by-day cruise and port-of-call planning. Dining tracking, document sharing, and client communication work the same way for cruise trips as they do for theme park vacations.
How long does it take to set up Pixie Dust CRM?

Do I need to install anything?
Nope. Pixie Dust CRM runs in your web browser on desktop and has native iOS and Android apps for mobile. Your clients get their own mobile app (iOS, Android, and web) that they download from the App Store or Google Play.

Is there a free version of Pixie Dust CRM?
There's no permanent free tier, but every plan comes with a 30-day free trial — no credit card required, full access to all features. You can explore the entire platform before deciding.
How much does Pixie Dust CRM cost?
Individual Agent plans start at $9.99/month (Base), $19.99/month (Pro), and $29.99/month (Premium). Save 20% with yearly billing. Host Agency plans start at $20/seat/month. All plans include a 30-day free trial. See the pricing page for full details.
What happens after my 30-day free trial?
If you don't subscribe after 30 days, your account stays active but read-only — you can still log in and view your data, but you can't create or edit records. Your data is never deleted. Subscribe anytime to pick up right where you left off.
Can I switch between plans?
Yes. You can upgrade or downgrade at any time from your account settings. Stripe prorates the difference immediately. You can also switch between monthly and yearly billing.
Can I switch from Individual Agent to Host Agency mode?
Yes. Contact support and we'll migrate your account. Your data and clients carry over seamlessly.
How does per-seat pricing work for teams?
Each agent on your team counts as one seat. You pay the per-seat price for the tier you choose. When you add or remove agents, your next invoice adjusts automatically. There are no fixed seat limits — you pay only for the agents you have.
Is there an annual discount?
Yes. All plans offer a 20% discount when billed yearly. For example, Base Individual Agent drops from $9.99/month to $7.99/month ($95.88/year). You can toggle between monthly and yearly on the pricing page.
Features
Can my clients see their itinerary on their phone?
Yes — that's one of the biggest differentiators. Your clients download the Pixie Dust app, enter their unique invite code, and instantly see their trip details, day-by-day itinerary, documents, and messages. No other travel agent CRM offers a dedicated client-facing mobile app.
Does Pixie Dust CRM have email marketing?
Yes. You can create email templates with variable placeholders (client name, trip dates, resort), build targeted campaigns by client tags or booking status, and track delivery, open, and click rates. Available on all plans.
Does Pixie Dust CRM support SMS messaging?
Yes. Pro plans include a shared SMS number with 200 messages/month. Premium plans include a dedicated phone number with 500 messages/month. SMS is managed from the same messaging interface as in-app chat.
Can I collect payments from clients through the CRM?
Yes. On the Premium plan, Stripe Connect integration lets you collect deposits and payments directly from your clients. Payments are tracked automatically on the booking.
Does Pixie Dust CRM have e-signatures?
Yes. Create contract templates, generate contracts for specific clients, and send a signing link. Clients sign from any device — no separate DocuSign or HelloSign subscription needed. Included on all plans.
Can I build custom reports?
Yes. The report builder lets you pull data from bookings, clients, tasks, or group trips. Choose columns, apply filters, group by any field, and visualize with bar, line, or pie charts. Export to CSV or PDF.
Does Pixie Dust CRM integrate with Disney's booking system?
Pixie Dust CRM does not directly integrate with Disney's reservation system (no third-party CRM does — Disney doesn't offer a public API). You manage booking details within the CRM and share them with clients through the app. The auto-calculated date reminders (dining at 60 days, Lightning Lane at 7 days) help you stay on top of Disney's booking windows.
Is there an AI trip planning feature?
Yes. The Premium plan includes an AI trip planning assistant that helps you build itineraries, suggest activities, and plan day-by-day schedules based on your client's preferences, travel dates, and party size.

Can I import my data from Travel Mouse CRM?
Yes. Export your client and booking data from Travel Mouse, then import it into Pixie Dust CRM via CSV, Excel, or Google Sheets. The import process walks you through mapping your existing fields to Pixie Dust CRM's format.
Can I import clients from a spreadsheet?

Is my data secure?
Yes. Pixie Dust CRM is built on Google Firebase with enterprise-grade infrastructure. All data is encrypted in transit and at rest. Client data is isolated per agent account — it's never shared with or accessible to other agents. Authentication is handled by Firebase Auth with industry-standard security.
The Client Mobile App
Which CRM has a client-facing mobile app?
Pixie Dust CRM is the only travel agent CRM that includes a dedicated client-facing mobile app. It's available on iOS (App Store), Android (Google Play), and as a web app. Your clients see their trips, itineraries, documents, and messages — all branded to your agency.
How do my clients get the app?
You generate a unique 6-character invite code from each client's profile. Your client downloads the Pixie Dust app, enters the code with their email and password, and they're instantly connected to your account. It takes about 30 seconds. See our client app guide for setup instructions.
Do my clients have to pay for the app?
No. The client app is free for your clients. It's included with your Pixie Dust CRM subscription at no extra cost.
Can I brand the client app with my logo?
Yes. On the Pro plan and above, client portal branding lets you customize the app with your logo and brand colors. Your clients see your branding, not ours.
What can my clients do in the app?
View trip details and booking information, browse their day-by-day itinerary, access and download documents you've shared, message you directly through in-app chat, view and accept/decline quotes, and see upcoming milestone dates.

Host Agencies & Teams
Can I use Pixie Dust CRM for my host agency?
Yes. Host Agency plans support multi-agent accounts with per-seat pricing. The agency owner invites advisors using invite codes. Each advisor gets their own login, client list, and bookings — while the owner sees everything through a team dashboard.
Do agency advisors need their own subscriptions?
No. Advisors join your agency using an invite code. Your Host Agency plan covers all seats — no individual subscriptions needed. You pay per seat based on the number of advisors in your agency.
What Host Agency-specific features are included?
All Host Agency plans include: multi-agent accounts, booking assignment and transfer between agents, a team performance dashboard, per-agent commission tracking, and team announcements with internal notes.
Do seats auto-scale?
Yes. When you invite a new agent, a seat is added and your billing updates automatically. When an agent is removed, the seat is released at the next billing cycle. You never pay for empty seats.
