How to Message Clients, Use Templates, and Stay on Top of Notifications

No more scattered texts, emails, and sticky-note reminders. Here's how to keep every client conversation organized in one place.

1

Sending Messages

Every message in Pixie Dust CRM is tied to a specific booking, so your conversations stay organized by trip instead of getting lost in a cluttered inbox. One thread per booking, no confusion.

How to send a message

  1. 1Open the booking detail for the trip you want to discuss.
  2. 2Scroll down to the Messages section (on the web app, look for the Messages tab).
  3. 3Type your message and hit Send.

Your client gets a notification as soon as you send the message, and you get one when they reply. Everything stays in one tidy thread per booking, so you can scroll back and find exactly what was said.

2

Email Templates

Tired of retyping the same welcome email or payment reminder? The web app lets you create reusable email templates so you can send polished, consistent messages in seconds.

Templates are organized by category: Welcome, Reminder, Confirmation, and Custom. They also support variables that auto-fill with your client and booking details, like the client's name, trip dates, or destination.

How to create a template

  1. 1Go to Templates in the main menu.
  2. 2Tap Create New and choose a category (Welcome, Reminder, Confirmation, or Custom).
  3. 3Write your email body. Use variables to auto-fill client and booking details when the email is sent.
  4. 4Hit Save. Your template is ready to use.

How to send a template

  1. 1Open any booking detail.
  2. 2Tap the email button.
  3. 3Pick a template from the list, review the auto-filled content, and Send.
3

Your Notification Center

The Notification Center is your single place for every alert that matters. Rather than checking five different screens, just glance here.

What triggers a notification?

  • New quote submissions from potential clients
  • Client messages waiting for your reply
  • Approaching dining dates so you never miss a reservation window
  • Payment deadlines coming up on bookings
  • Task due dates you set for yourself

Staying on top of it

  1. 1Look for the unread count badge in the app bar -- it tells you at a glance how many new alerts are waiting.
  2. 2Tap into the Notification Center to review each alert and take action.
  3. 3When you are caught up, tap "Mark all read" to clear the list.

Pro tip: Make it a habit to check your Notification Center regularly throughout the day. This is how you stay responsive to clients and never let an important deadline slip by.
