How to Build Day-by-Day Itineraries Your Clients Will Love

Your clients want to know exactly what's happening each day of their vacation — which park, which rides, where they're eating, and when they can take a breather. This guide walks you through building that plan in Pixie Dust CRM so every day feels organized and exciting.

Creating an Itinerary

Every booking in Pixie Dust CRM can have its own itinerary. Here is how to get one started:

  1. Open the booking you want to plan, then navigate to the Itinerary tab.
  2. If this booking does not have an itinerary yet, day cards will automatically generate — one card for every travel day based on your check-in and check-out dates.
  3. Each day card includes a park or location field, an activity list, and a notes section for anything extra.
  4. Fill in the plan for each day — rides, shows, dining reservations, rest breaks, or whatever your client needs. Be as detailed or high-level as you like.
  5. Hit save, and your client sees the itinerary in their app immediately. No extra sharing step required.

Tip: If your client's travel dates change, update the booking dates first. The itinerary will adjust the number of day cards to match.

Drag & Drop Editing

Typing out every activity works, but the web app gives you a much faster way to build itineraries — drag and drop.

  1. On the web app, open the itinerary and you will see an activity palette on the left side of the screen.
  2. The palette contains predefined activities — rides, shows, dining, and breaks — each color-coded by type so you can tell them apart at a glance.
  3. Drag any activity from the palette and drop it onto the day where you want it.
  4. Need to reorganize? Drag activities between days to move them around until the schedule feels right.
  5. To edit details, tap the pencil icon to toggle edit mode, make your changes, then save.

This is way faster than typing everything manually, especially for multi-day trips with packed schedules. Once you get used to the drag and drop workflow, building an itinerary takes just a few minutes.

Sharing Itineraries

An itinerary is only useful if the right people can see it. Pixie Dust CRM gives you two ways to share:

Through the Client App

Clients who have a Pixie Dust CRM account will see the itinerary automatically under their trip details in the app. As soon as you save changes, they see the latest version — no extra steps on your end.

With a Share Link

Sometimes you need to share the itinerary with someone who does not have an account — a spouse, a grandparent, or anyone else in the travel party. That is what share links are for.

  1. Open the booking detail page.
  2. Tap the share icon.
  3. Select Generate Share Link.
  4. Copy the link and send it to anyone who needs to see the plan.

Anyone with the link can view the itinerary without logging in — perfect for sharing with the whole travel party so everyone knows the plan.

Good to know: Share links are read-only. Your clients can view the itinerary but cannot edit it, so your carefully built plan stays exactly the way you designed it.
